Inventory and Fulfilment Co-ordinator

We are looking for an experienced Logistics Coordinator to join our team.

We are looking for a systems literate, detail oriented, energetic and joined up thinking individual who will be instrumental in making sure our products move smoothly through our spaces, and are accurately reflected in our systems to ensure we service our customers with products and service standards that delight and exceed expectations.

The winning candidate will be a highly organised individual who will record stock and component movement through the business in real time, manage the customer care and dispatch of our ecommerce orders, manage dispatch for our few wholesale partners, and who will work closely with the fulfilment team to support in the arrangement of getting our products to our customers and end clients. This is a role for an individual who is smart thinking, motivated by the challenge of ensuring our stock items, stock movements and stock locations are interrogated, reliably managed, and accurately reflected for all teams across the business to be able to access up to date information. The role will appeal to an individual who loves to cross off their task list, collaborating and communicating well with other colleagues and external 3rd parties, and is comfortable reflecting multiple schedules, can think and work efficiently, whilst respecting the need for rigour and accuracy in their output.

Much of our order fulfilment is extremely straight forward; stocked, boxed goods moving from our warehouse to a 3rd party delivery company, and this role will support with these arrangements. Other order scenarios are more logistically complex, e.g., large scale install, requiring multi supplier, product type and lead time coordination. This role will provide cover for such logistics planning and implementation, therefore an ability to strategically evaluate best circumstances for collection and collation of items will be relied upon. As a key collaborator with the sales and fulfilment teams, our ideal candidate will also have an interest and ability to respond to customer issues, ensuring any problems are efficiently resolved for our clients and escalated accordingly to the relevant internal teams.

As Inventory and Fulfilment Coordinator you will:

  • Stock all goods and components into the business.

  • Create work orders to ensure the system is fully reflective of the stock within the business.

  • Oversee the movement of all stock through the business.

  • Ensure our inventory and ecommerce platform is accurate and reflects the goods available.

  • Manage fulfilment of our Shopify/Ecommerce platform and system health checks.

  • Understand and report stock level issues in good time.

  • Log and address any repeat issues with warehouse fulfilment to improve service if appropriate.

  • Work with Sales and Operations to resolve customer/product issues in a timely and efficient manner, escalating as necessary.

  • Arrange and communicate customer deliveries, within a targeted time period of sale.

  • Complete customer orders to close off records, and ensure our system is fully reflective and up to date with goods that have been issued to clients.

  • Liaise with customers in relation to outstanding balance payments, managing release of goods, scheduling convenient timings accordingly.

  • Ensure shipping costs are balanced to budget.

  • Preparation of goods management and documentation for any wholesale dispatch.

  • Share of Saturday cover TBC – assume 1 in 5 or 6 (Monday in lieu)

What you need to be successful in this role:

  • Ability to manage and prioritise a busy workload, working to tight deadlines.

  • Be detail oriented and highly motivated.

  • Be numerically strong.

  • Experienced in using Inventory and Retail Management Systems.

  • Warehouse Management Systems literate.

  • Excellent verbal and written communication skills.

  • Fluent in English, both spoken and written.

  • Proficient computer skills, including Microsoft Office, Google Suite etc.

  • Experience working within an ecomm platform will be helpful.

  • Understanding of production flow.

  • Experience of working in design-led furniture, particularly at the luxury end, will be a distinct advantage

Location: Based at the PINCH Studio (Clapham North Art Centre, 26-32 Voltaire Road, London, SW46DH) with travel to PINCH shop (200 Ebury Street, London, SW1W 8UN) as needed.

Line Manager: Head of Operations

Hours: Monday to Friday 9am – 6pm with an occasional rotated Saturday cover at the Shop TBC.
